These Terms & Conditions govern all bookings and services provided by Wales VIP Transport ("we", "us", "our"). By requesting a quote or making a booking with us, you ("the customer") agree to these terms. Please read them carefully.
1. Bookings and quotes
- Quotes are provided in good faith based on the information you give us and are confirmed before travel. A booking is only confirmed once we have acknowledged it.
- You are responsible for providing accurate pickup and drop-off details, timings, passenger numbers and any special requirements. We are not liable for problems arising from incorrect information supplied to us.
2. Pricing and payment
- Fares are agreed in advance and are fixed unless the journey changes (for example additional stops, route changes, extended waiting time or a change in passenger or luggage requirements), which may incur additional charges.
- Unless stated otherwise, quoted fares include applicable tolls and standard airport parking for collections. Extras such as significant waiting time or additional stops may be charged separately.
- Payment terms are confirmed at the time of booking.
3. Cancellations and amendments
- Cancellations made 48 hours or more before the scheduled pickup time are free of charge and any deposit paid is refunded in full.
- For cancellations made within 48 hours of the scheduled pickup time, the initial deposit of 20% of the fare is non-refundable.
- We will accommodate amendments wherever possible — please contact us as early as you can.
- We reserve the right to cancel a booking in exceptional circumstances; where we do so, any payment made for that booking will be refunded in full.
4. Airport transfers and waiting time
- For standard door pickups we include 30 minutes of complimentary waiting time. For airport collections we include 45 minutes of complimentary waiting time after your flight has landed.
- Waiting beyond the included time may be chargeable at the rate confirmed at booking. For airport collections we monitor your flight and adjust your pickup for delays where reasonably possible.
- You are responsible for providing your correct flight details. We are not responsible for missed flights or connections.
5. Our service and vehicles
- We will provide a vehicle suitable for your booking. Where a specified vehicle is unavailable, we may provide an equivalent or superior alternative.
- We take all reasonable care to be punctual, but we cannot accept liability for delays caused by circumstances beyond our reasonable control, such as traffic, weather, road closures or other events.
6. Passenger conduct and responsibilities
- Smoking, vaping and the consumption of illegal substances are not permitted in our vehicles.
- The customer is responsible for any loss or damage caused to the vehicle by passengers, including soiling; reasonable cleaning or repair charges may apply.
- The number of passengers and items of luggage must not exceed the capacity agreed at booking. Appropriate child seats can be requested in advance.
- Our chauffeurs may refuse to carry, or may end a journey for, any passenger who is abusive, threatening or unsafe.
7. Personal belongings
Passengers are responsible for their own personal belongings. While we will take reasonable care and return found property where possible, we do not accept liability for items lost, left behind or damaged in our vehicles.
8. Liability
To the fullest extent permitted by law, our total liability arising out of or in connection with a booking is limited to the value of the fare paid for that booking. We are not liable for indirect or consequential losses. Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud, or for any other liability that cannot be excluded by law.
9. Events beyond our control
We are not liable for any failure or delay in performing our services that is caused by events beyond our reasonable control, including severe weather, accidents, traffic, road closures, strikes or other force majeure events.
10. Complaints
We aim to provide an excellent service. If something falls short, please contact us as soon as possible at info@walesviptransport.com and we will do our best to put it right.
11. Governing law
These terms are governed by the laws of England and Wales, and any disputes are subject to the exclusive jurisdiction of the courts of England and Wales.
